About The Job

We are seeking a highly capable and detail-driven Executive Personal Assistant to support a principal whose professional and personal life span multiple time zones, high-stakes strategy, and family-centered routines. This role serves as the principal's chief connector, linking the household, office, travel, and global network of collaborators with consistency and care. The Executive Personal Assistant will work primarily from the principal's home in Fairfax, VA, with occasional presence at the DC-based office. A service-oriented, solutions-driven mindset is essential, as is a willingness to provide 360° coverage, whether that means EA work, or jumping in with sleeves rolled up to manage household/personal/family needs.

The ideal candidate brings calm energy, creates order from complexity, and knows how to operate in high-trust environments with grace. They will be skilled at integrating with family members, staff, vendors, and professional peers. This role requires full-spectrum support across personal and professional spheres, with responsibilities ranging from overseeing household operations and personal logistics to managing a complex calendar, drafting executive-level correspondence, and serving as a steady partner in the principal's daily life.

The Employer

The principal is an internationally engaged strategic advisor and board member, who travels frequently and is often abroad for days or weeks at a time. The Executive Personal Assistant will work closely with the principal's sister, who directs her personal and business matters, and serves as a liaison between the principal/family and other staff on scheduling and project needs. This person will coordinate heavily with a London-based assistant, cleaners/vendors, and additional staff supporting other family members. Seamless collaboration, proactive follow-up, and high emotional intelligence will be key. The successful candidate should be comfortable stepping into hands-on support wherever needed, especially during transitional moments.

The person in this role will have the opportunity to shape how support is delivered and grow alongside the principal/family's evolving needs.

Responsibilities

Calendar & Travel

- Maintain a complex calendar with constant updates; schedule meetings, appointments, family time, and personal routines across multiple time zones
- Coordinate global travel: create packing systems, manage itineraries, prepare hotel and activity research, and ensure things like wardrobe and medication are accounted for across destinations
- Facilitate morning and/or afternoon check-ins to review plans, priorities, and tasks
- Prepare principal for meetings or social commitments, including logistical notes and/or background material

House Management

- Create and maintain detailed household inventories, including wardrobe, supplies, storage, furnishings, tech, and office items
- Develop systems to reduce redundancy of key personal items between home and travel
- Open and process mail, manage deliveries, and coordinate administrative filings or bills as needed
- Oversee household service providers and take point on vendor communication, hiring, and oversight
- Manage housekeeper/cleaning services, including leading the search for a replacement and/or filling in with coverage gaps
- Liaise with additional household staff (e.g., cleaners, maintenance, event vendors) and ensure services meet high standards

Personal & Family Assistance

- Serve as a trusted touchpoint between the principal, family and friends
- Help manage and plan family gatherings (e.g. dinners and holidays)
- Offer gentle oversight and structure to the home environment during periods when the principal is away
- Maintain regular communication to ensure alignment across routines and responsibilities
- Coordinate with professional staff working for immediate family members

Communication & Administrative Support

- Draft and manage professional and personal correspondence on behalf of the principal; tone-matching and confidentiality are essential
- Monitor multiple inboxes (Outlook and Gmail), flagging and responding to items based on urgency and relevance
- Keep digital files, notes, and contacts organized and accessible
- Contribute to light project management on both business and personal initiatives
- Anticipate needs and offer proactive solutions before requests are made

Must Haves

- Prior experience supporting a senior executive, entrepreneur, or public figure in a personal or executive assistant capacity
- Strong verbal and written communication skills, with the ability to draft messages and correspondence in the principal's voice
- Exceptional organization and attention to detail, especially under pressure
- Ability to manage multiple threads of communication across both personal and professional environments
- Tech-savvy, with comfort using Apple Calendar, Google Workspace, and Outlook
- Reliable, discreet, and comfortable in a fluid, family-centered home environment
- Valid driver's license and personal vehicle (a vehicle stipend is provided)
- Willingness for occasional travel if needed (with advanced notice)
